Meeting on 2 July 2011 - briefing on autogate and distribution of access cards

The residents committee called a meeting to brief residents about the implementation of the new autogate, and to distribute the access cards.

Why autogate
The intention of the autogate is to provide an added level of crime deterant by ensuring that the guards and residents have better information with regards to parties coming through the Tropika 2 neighbourhood.
The autogate security system is NOT to inconvenience residents or their guests.
Implementation impact
All residents will be given one access card whether they are participating security fee members or not. This primary access card will be always enabled, and will not be de-activated. For security fee members with a timely payment record (not more than 3 months overdue), they will be given a 2nd access card. Members can request and purchase the 3rd and 4th cards for RM50 each (a standard practice for all establishments implementing gate pass security systems).
The 2nd and subsequent access cards will be de-activated should payments be overdue. However, the primary access card remains enabled throughout despite this.
All residents will be given 2 car stickers, and can purchase additional car stickers at RM5 a piece. The car stickers will assist the guards in easily identifying residents of tropika 2 and opening the autogate for them.
In short all residents shall be able to enter and leave tropika 2 without problems.
Payment records
A major caveat in relation to the allocation and distribution of the access cards will be based on the committee's records of payment by residents. The payment records are updated based on advise by residents that they have made payment.
On occassion we have noted that (i) deposit advises were not made; (ii) deposit advises were passed to committee members but not recorded; (iii) deposit advises were either destroyed (rain in mailbox) or lost.
In either case, this is one of the challenges the committee members have in keeping track of payments by residents. as always, the best is for residents to arrange for direct bank in deposit themselves, scan the bank in slip and email it to the committee members for records. The email records are useful references & documentation.
Impact on visitors
Visitors to Tropika 2 will also not be inconvenience. As mentioned above, the goal is to provide the guards and residents with better information of parties coming through the neighbourhood. As such, visitors will only need to provide information about the vehicle number, name & NRIC and visiting house address. No documents will be withheld. At the very minimum, the number plates of the vehicles will be recorded by the guards.
Access cards
The access cards function on a proximity basis. This means, residents will only need to wave the card approximately 1 meter from the sensor without winding the windscreen down (except for certain tinting that prevent smart tag usage).
Additional 3rd and 4th cards can be obtained from the committee members at RM50. Kindly contact the committee members. Once payment is made and the scanned payment slipped is emailed to the committee members, the card will be assigned, activated and passed to the requester.
